Ideas do not arrive at your desk. They arrive while driving, in a queue, at half past one in the morning — and by breakfast they are gone.
The problem
There was no shortage of places to write things down: notes, a message to yourself, a task manager, a file on the drive. The problem was not the place. The problem was that there were five of them. After a month none of them could answer the question “what should I do today?”
Then a second layer appeared. Beyond your own work you have to keep an eye on competitors: who launched what, who changed prices, how they answer new regulations. That is a separate discipline, and inside a general to-do list it drowns.
The solution
One entry point, any channel. A thought enters the system from a phone, from the browser, or straight from a working chat with an AI — without switching apps. A router then decides what it is: an idea, a task, a reminder, a partnership or a competitor.
Scoring instead of manual sorting. Every card is scored for importance and urgency. The list stops being a chronological dump and starts answering the question of where to begin. Manual prioritising is the first thing people abandon after a fortnight, so there is none of it here.
Competitor files nearby, but separate. Their own board, so watching the market does not blend into today’s work while staying within reach.
On a phone it behaves like an app. A PWA on the home screen: opens from an icon, works offline, sends reminders. No app store involved.
The outcome
More than a hundred live cards across five boards: ideas, tasks, reminders, partnerships, competitors. The tool is in daily use and survived a site migration — the cards were moved by a separate procedure, because losing them was not an option.
The side effect turned out to matter as much as the main one: a system that captures a thought in three seconds changes the habit itself. Ideas stop being filtered out at the door, because “I will write it down later” is no longer needed.
